Security & privacy

Sensitive conversations require deliberate protection

Klinote processes information from clinical consultations. Our approach is built around minimising data, limiting access, making retention transparent, and giving clinics the information they need to assess the service.

How we protect data

Four principles guide our design

01

Data minimisation

Process only what is needed to provide, secure, support, and improve the contracted service.

02

Controlled access

Access follows role and need, with authentication appropriate to the sensitivity of the data.

03

Transparent retention

Clear, configurable retention for audio, transcripts, and notes — described up front.

04

Clinic oversight

Administrators keep visibility and control over users, templates, and settings.

Data lifecycle

From recording to deletion

Every consultation follows a clear, controlled path — designed so that the clinician stays in control of the final note.

  1. 01The clinician starts a session in the iOS app.
  2. 02Consultation data is transmitted securely to the processing environment.
  3. 03Approved subprocessors perform specific functions under Klinote’s instructions.
  4. 04Klinote generates a transcript and a structured note draft.
  5. 05The clinician reviews and exports the approved content.
  6. 06Audio, transcripts, notes and logs are retained for the agreed periods, then deleted or anonymised.
Responsible AI

AI prepares the draft. The clinician owns the decision.

Klinote is a documentation assistant. Generated content can be wrong or incomplete, so clinicians review every note before approval.

Klinote is not intended to

  • Diagnose a patient
  • Recommend or decide treatment
  • Replace examination or clinical reasoning
  • Determine what is legally required in the record
  • Replace review by a qualified clinician
